Order placement is the formal step where a quoted style becomes a confirmed purchase order with agreed price, quantity, delivery date, and terms. Before the buyer issues the purchase order, the merchandiser reconfirms style details, size ratio, colourway breakdown, and any last-minute construction changes, because any mismatch between the quotation and the confirmed order creates cost and planning errors downstream. Order confirmation also fixes the shipment date, payment terms, and shipping mode, all of which feed directly into the time and action (T&A) calendar that governs every subsequent department.
The T&A calendar is a reverse-scheduled document that works backward from the confirmed ship date, allocating time windows for fabric booking, trim sourcing, sampling approval, fit approval, production, and quality inspection. Each milestone carries an owner and a target date, and the calendar is shared across merchandising, planning, sourcing, and production so that a delay at one stage is visible to everyone immediately rather than discovered late. A realistic T&A calendar accounts for supplier lead times and factory capacity rather than simply working backward on paper, because an unrealistic calendar built purely to satisfy the buyer's requested date sets up the whole order for failure.

Share the calendar with merchandising, sourcing, planning, and production heads, and record their agreement before booking materials.

Review actual progress against the T&A calendar at a fixed weekly meeting and re-forecast any slipped milestone immediately.
